Who You Are
You are a master multi-tasker who thrives in a fast-paced environment. You have fun while maintaining complete professionalism, and feel most successful when tasks are completed earlier and better than expected. You are highly organized, a solid writer, and have a sixth-sense when it comes to anticipating needs before they are asked of you.


Duties and Expectations

  • Support two to five Leadership Team Members in our Seattle Office with their administrative responsibilities with the goal of allowing them to increase their client engagement time, including: note taking, calendar management, travel accommodations, expense report filing, receipt management, ordering lunch, setting up meetings, receiving visitors, arranging conference calls, and other duties as needed

  • Conserve Leadership Team members’ time by researching, reading, and routing correspondence such as timesheets, invoicing, and items related to recruiting

  • Ensure weekly priorities are kept top-of-mind for each Leadership Team member, prioritizing client-related items

  • Manage Leadership Team professional association memberships and event attendance

  • Work with Operations Team to ensure Leadership Team has the correct IT support, IT equipment, software, and other tools proactively anticipating their needs

  • Draft communications, editing, filing, and managing important documents

  • Take notes during all Leadership Team Meetings and distribute notes accordingly

  • Support the Board of Directors by: taking notes during meetings, distributing notes accordingly, schedule recurring meetings, logistical support for meetings

  • Pull requested reports from Deltek Vision

  • Maintain confidential information efficiently


  • Bachelor’s degree or equivalent work experience

  • 3 – 5 years’ experience as an executive, administrative, or personal assistant

  • Strong written and oral communication skills

  • An uncanny ability to multi-task


Bonus Skills

  • Experience with Deltek Vision

  • Experience working in a professional services firm
